Now Requesting Proposals for Holiday Event Planner PDF Print E-mail

We are now accepting proposals from planners wishing to contract with Site SoCal in producing the 2010 Holiday Event. MEETING PLANNER SCOPE OF WORK

The Holiday Event meeting planner will be responsible to the Holiday Event Committee, headed by Gabriel Haigazian.  Holiday Event Planning Committee includes: Gabriel Haigazian (chair), Geraldine Gatehouse, Darrell Benning, Connie Reeves.

Qualifications:

  • Must be a Site member or willing to join at own expense upon award of contract.
  • Must have proven experience managing multiple-day events with fundraising elements, room blocks, large (500-plus) attendee lists.

The preliminary outline of work includes but is not limited to:

  • Administration duties related to the Holiday Event; these include:
    • Follow up on items such as sponsorship paperwork and other committee related items; communicating with board as directed on various aspects of the Holiday Event
    • Online registration: all aspects of online registration using Cvent (Cvent training provided if necessary). Cvent duties include: monitoring registration; sending out emails; tracking sales, registrations and payments; resolving issues with failed credit card transactions; monitoring room requests and activities; providing room lists to the committee and hotel; providing activity lists for all activities; providing financial lists; monitoring table sales; communicating with table hosts; following up on silent auction donations for table hosts; acting as call center to resolve issues; contacting committee for direction in case of problems needing special attention.
  • Registration and onsite management:
    • Responsible to committee for heading up registration on site with small team assistance; responsible for managing credit card authorization process for silent auction bidders; responsible for overseeing and managing silent and live auction check-out.
